Our Transport Management System (TMS) is designed to be the most user-friendly and intuitive on the market, automating administrative tasks and optimizing planning for our customers.
To support our growth and keep daily life at Qargo running seamlessly, we’re looking for a proactive and hands-on Office & Management Assistant. You’ll be the person who keeps the heart of our Ghent office beating, handling the practical side of things, while creating a space where the team feels supported and at home.
What you’ll be doing
✅ Overseeing daily office operations: making sure supplies are stocked, groceries are ordered, the post is handled, and everything is in its place
✅ Acting as the point of contact for vendors and third parties (cleaning company, building management, maintenance providers, etc.)
✅ Managing Qargo-branded materials like swag, business cards, printed assets, and other merchandise
✅ Managing all travel and logistics for the entire company—including fairs, customer visits, and internal team events
✅ Helping organise team events, bringing people together and making sure everything runs smoothly
✅ Providing practical support to the management team, like scheduling meetings, managing calendars, and stepping in as a personal assistant when needed
✅ Coordinating onboarding logistics, so every new joiner feels welcome and prepared from day one
✅ Taking initiative to maintain a tidy, pleasant, and welcoming office atmosphere - right down to the little details
What we’re looking for
✅ Someone highly organized and structured, who thrives on keeping things in order and running efficiently
✅ A practical doer who takes initiative and handles tasks without needing to be asked
✅ A keen eye for detail, whether it’s thoughtful finishing touches on a team event or well-prepared welcome packs for new joiners
✅ Strong coordination and communication skills, with a professional and approachable attitude
✅ Someone who enjoys being of service, supporting others, and creating a smooth and enjoyable work experience for the whole team
✅ Discreet and trustworthy, able to handle sensitive information with professionalism and care
✅ 1–2 years of experience in a similar administrative, office, or operations support role
✅ Fluent in both English and Dutch
