HR & Office Assistant

Qargo is a tech scale-up with offices based in London and Ghent (Belgium). We’re on a mission to transform the transportation industry by making it more efficient, profitable and sustainable. We are building the most user friendly and intuitive Transport Management System (TMS) on the market that automates administrative processes and optimizes planning.
To support our growth and keep our Ghent office running smoothly, we’re looking for a HR and Office Assistant. In this multifaceted role, you’ll take care of the daily office operations while also providing essential support to our People Team. It’s the perfect opportunity for someone who enjoys variety, is hands-on, and is eager to learn and grow in both office management and HR.
What you’ll be doing
✅ Overseeing daily office operations: making sure supplies are stocked, groceries are ordered, the post is handled, and everything is in its place
✅ Acting as the point of contact for vendors and third parties (cleaning company, building management, maintenance providers, etc.)
✅ Managing Qargo-branded materials like swag, business cards, printed assets, and other merchandise
✅ Managing all travel and logistics for the entire company - including fairs, customer visits, and internal team events
✅ Helping organise team events, bringing people together and making sure everything runs smoothly
✅ Ensuring a smooth and positive welcome & onboarding for all new hires, from welcome packs to first-day logistics.
✅ Company fleet administration, including vehicle assignments, maintenance, and insurance
✅ You'll participate in HR projects helping with research, data gathering, and coordination
✅ Taking initiative to maintain a tidy, pleasant, and welcoming office atmosphere - from the current office processes, right down to the little details
What we’re looking for
✅ 1–2 years of experience in a similar role or a degree in Human Resources or related field
✅ Someone organized and structured, who thrives on keeping things in order and running efficiently
✅ A practical doer who takes initiative
✅ Someone who enjoys being of service, supporting others, and creating a smooth and enjoyable work experience for the whole team
✅ A keen eye for detail, whether it’s thoughtful finishing touches on a team event or well-prepared welcome packs for new joiners
✅ Strong coordination and communication skills, with a professional and approachable attitude
✅ Discreet and trustworthy, able to handle sensitive information with professionalism and care
✅ Fluent in both English and Dutch
